Exhibitor and Vendor Information

The third annual Wings and Wildflowers Festival, being held Oct. 3-5, 2014 at Venetian Gardens in Leesburg, will provide an opportunity for visitors and residents to meet with, and purchase goods from, local merchants. Exhibitors that specialize in tourism, nature activities, landscaping, gardening, irrigation, hardscapes, horticulture, fertilizer and more are welcome to sign up for this three-day event.

Exhibitor and food vendor applications must be received no later than Friday, Aug. 8 at 5 p.m. Rental fees are due at the time of application.

Exhibitor and Food Vendor Spaces

The following exhibit rental rates are available:

10’x10’ – Exhibitor Space - $100

  • A 10’x10’ exhibition space inside main exhibitor area or festival grounds for Friday, Oct. 3, Saturday, Oct. 4 and Sunday, Oct. 5, 2014; table and chairs will be provided.
  • Organization name of exhibitor will be listed in the directory of the printed program. (Name will appear exactly as written on application)
  • Optional tent for outside spaces can be provided for $100 additional fee.

10’x20’ – Exhibitor Space - $200

  • A 10’x20’ exhibition space inside main exhibitor area or festival grounds for Friday, Oct. 3, Saturday, Oct. 4 and Sunday, Oct. 5, 2014; table and chairs will be provided.
  • Organization name of exhibitor will be listed in the directory of the printed program. (Name will appear exactly as written on application.)  
  • Optional tent for outside spaces can be provided for $100 additional fee.

Food Vendor Space - $100

  • A food vendor space (roughly 10’x10’) for Friday, Oct. 3, Saturday, Oct. 4 and Sunday, Oct. 5, 2014; table and chairs will be provided.
  • Organization name of exhibitor will be listed in the directory of the printed program. (Name will appear exactly as written on application)
  • Optional tent can be provided for $100 additional fee.

Not-for-Profit Exhibitor Space – $25

  • A 10’x10’ exhibition space inside main exhibitor area or on festival grounds for Friday, Oct. 3, Saturday, Oct. 4 and Sunday, Oct. 5, 2014; table and chairs will be provided.
  • Organization name of exhibitor will be listed in the directory of the printed program. (Name will appear exactly as written on application)
  • Optional tent can be provided for outside spaces at no additional cost.

Festival Hours of Operation/Location

The Wings and Wildflowers Festival will be held at Venetian Gardens, located at E. 201 Dixie Ave. in Leesburg. Exhibitors/Food Vendors must keep spaces attended and open EVERY DAY for business during Festival hours. Early ‘pack up’ is not permitted. The hours of the event are as follows:

  • Friday, Oct. 3, 2014 – 9 a.m. to 4 p.m.
  • Saturday, Oct. 4, 2014 – 9 a.m. to 4 p.m.
  • Sunday, Oct. 5, 2014 – 11 a.m. to 4 p.m.

Certificate of Insurance

A Certificate of Insurance (CIO) is required within five (5) business days from the date of application if you will be exhibiting, selling or providing any of the following (but not limited to): any food, fresh herbs, live animals (such as snakes, birds, bats, exotics, butterflies), boat rides, kayak trips, horse and carriage rides. Certificate Holder should be Lake County, a Political Subdivision of the State of Florida, and the Board of County Commissioners, P.O. Box 7800, Tavares, FL 32778-7800. The County reserves the right to request a Certificate of Insurance from any vendor as deemed necessary.

Exhibit Setup/Removal Information

  • Exhibitors can set up their booths beginning on Thursday, Oct. 2, 2014, between the hours of 9 a.m. to 5 p.m.
  • All booths must be cleared of content by Sunday, Oct. 5, 2014 at 5 p.m. 
  • When cleaning up after the event, be sure to leave the space exactly as you found it.

Additional Information

  • No parking will be permitted behind, or beside, your exhibitor space.
  • Cancellations or refunds will not accepted after Friday, Aug. 8 at 5 p.m.
  • Exhibit/Food Vendor spaces are filled on a first-come, first-serve basis, and will be assigned for you. No changes in location will be permitted.
  • Food vendors must have proper permits for food distribution issued by The State of Florida’s Department of Business Regulations, Division of Hotels and Restaurants. For questions, call them at 800-375-6975.
  • No amplifying devices will be allowed (radios, microphones, etc.).
  • Goods on display are the responsibility of the exhibitor/food vendor. Exhibits should not be left unattended during Festival hours.
  • Lake County is not responsible for any loss or damage to any exhibitor property or any other person caused by theft, fire, riot, strikes, acts of God or other causes of whatever nature or kind.

Payments are due at the time of application. If applying in person or by mail, please include completed application, certificate of insurance and check payable to “Lake County BCC”, and either deliver or mail it to: Wings and Wildflowers, Attn: Debi Dyer, 315 W. All registrations and payments must be received no later than Friday, Aug. 8, 2014 at 5 p.m. Cancellations after Aug. 8 will not be eligible for a refund.
